TIMBER PINES TENNIS CLUB BYLAWS
AMENDED JANUARY 10 2017
ARTICLE I: NAME
The name of this organization shall be known as The Timber Pines Tennis Club.
ARTICLE II: PURPOSE
This organization is devoted to the development of tennis as a means of healthful recreation, maintenance of fair play, and good sportsmanship. Its role is to conduct tennis tournaments and encourage an atmosphere of sociability for all residents.
ARTICLE III: MEMBERSHIP
A member in good standing is one whose current dues are paid and who complies with these bylaws. Membership will be open to any “Resident” of the Timber Pines Community Association. The definition of “Resident” is as defined in the TPCA “Rules and Regulations” of 5/1/2015 that states: “For the purposes of this document, will include Owner’(s), Renter(s) and person(s) named on an “Affidavit of Residency.”
ARTICLE IV: OFFICERS
Section 1 Elected Officers

Section 2 Qualifications
Any member in good standing.
Section 3 Term of Office
All officers shall hold office for a period of twelve (12) months, commencing on April 1st and ending on March 31st, unless re-elected.
Section 4 Vacancy
Any vacancy of the elected officers shall be filled by the remaining elected officers.
Section 5 Duties
A. The President shall
1. preside at all meetings of the membership and of the Executive Board;
2. appoint all Committee Chairpersons to serve with the
Board;
3. provide assistance to other members of the Executive Board;
4. prepare agenda;
5. be an ex officio member of all committees except for the nomination/election committee;
6. prepare a proposed annual Operating and Capital Budget for presentation to The Executive Board.
B. The Vice President shall
1. assist the President; 2. Fulfill other duties as assigned by the President.
C. The Secretary shall
1. record the minutes of scheduled meetings of the Timber Pines Tennis Club;
2. report the minutes as recorded to the membership;
3. retain and secure all teller sheets and ballots for a period of ninety (90) days following a ballot election.
D. The Treasurer shall
1. be responsible for financial management, and have custody of the club’s funds;
2. submit a financial statement showing receipts and expenditures at all regular meetings;
3. maintain a current membership list and publish twice a year;
4. assist the President with annual budget preparation.
ARTICLE V: NOMINATIONS/ELECTIONS
Section 1 Committee
The Nomination/Elections Committee shall submit and post a slate of at least one nominee for each office at least seven (7) days prior to the election. For a nominee’s name to be placed on the ballot, the individual must agree to serve prior to being nominated.
Section 2 Election
A. Nominations will be accepted from the floor;
B. Election of officers shall be at an annual January meeting. The existing officers shall remain in office until March 31st, unless reelected.
C. If there is more than one candidate for an office, the vote shall be by ballot. The candidate obtaining the most votes shall stand elected. In the event of a tie between two (2) candidates, balloting will be repeated until a simple majority is obtained for a single candidate. Should there be a tie between 3 or more candidates, balloting will be repeated and the candidate obtaining a relative majority (plurality) of the votes cast will stand elected.
D. If there is only one candidate for each office, the vote shall be by a show of hands.
Section 3 Ballots
Absentee ballots are authorized. Each member who wishes to use an absentee ballot must personally request a ballot from the Nomination/Elections Committee. When completed, the ballot shall be returned to the Nomination/Elections Committee before the election.
ARTICLE VI: MEETINGS
There shall be a January annual meeting for the election of officers, with additional meetings called by the President when necessary. All business meetings of the club shall be announced thirty (30) days in advance of the meeting. A simple majority vote is required for the approval of any transaction.
ARTICLE VII: EXECUTIVE BOARD
Section 1 Members
The Executive Board shall consist of the President, Vice President, Secretary, Treasurer and the Standing Committee Chairpersons.
ARTICLE VIII: STANDING COMMITTEES/CHAIRPERSONS
Section 1 Committee Members
Committee members shall be members in good standing of The Timber Pines Tennis Club.
Section 2 Standing Committees

Section 3 Standing Committee Chairpersons
All Standing Committee Chairpersons shall be appointed by the incoming President of The Timber Pines Tennis Club and report directly to the President.
ARTICLE IX: DUES and FINANCE
Section 1 Dues
Membership dues shall be established by the Executive Board and approved by the membership at the annual meeting.
Dues are paid annually on or before January 1st and are delinquent January 31st. Members admitted after November 1 shall be credited with dues paid for the following year.
Section 2 Audit
The financial records shall be audited at the end of each calendar year by a committee appointed by the President.
ARTICLE X: PARLIAMENTARY AUTHORITY
Robert’s Rules of Order shall govern the proceedings of The Timber Pines Tennis Club.
ARTICLE XI: COURT RESERVATIONS - ATTIRE
Section 1 Court Reservations
Reserving courts for play shall be consistent with sign up procedures currently in effect as established by Timber Pines Community Association administration.
Section 2 Attire
All players shall wear appropriate tennis attire, including tennis shoes, in accordance with the provisions set forth in Article VIII, Section K, Paragraph One (1) of the May 1st 2015 Timber Pines Rules and Regulations (or most current version) that states: “Players must wear tennis shoes, tennis clothing or appropriate sportswear. Swimsuits, cutoffs or spandex clothing are not permitted.”
ARTICLE XII: AMENDMENTS
These By-Laws may be amended by 1/3 vote of the tennis club members in good standing, after being approved for presentation by the Executive Board of The Timber Pines Tennis Club.
